Microsoft Entra ID for Small Businesses: One Login for Everything Instead of Sticky Notes
In many small businesses and non-profits every PC is its own world: a local user account, a password on a sticky note, software someone installed at some point. As soon as a person leaves or a computer fails, the searching begins. Microsoft Entra ID – formerly Azure Active Directory – solves exactly this problem, and it does so for organisations with five or eight workstations too. This is how I recently set it up for a non-profit with three houses in Berlin.
What a central identity actually means
Instead of creating a separate account on every computer, each person exists exactly once – in your organisation's Entra ID directory. With that one account they sign in to the Windows PC, to Outlook, Teams, SharePoint and every other application you connect. One password, one two-factor setup, one place where you grant and revoke permissions.
In day-to-day terms: a new employee gets an account and can sign in on any computer in the building – with her files, her mailbox, her settings. When she leaves, you block one account and access is gone everywhere. No more walking around eight computers.
Why it pays off from five workstations upwards
- Security: two-factor sign-in and password rules apply centrally to everyone – not only where someone remembered to set them.
- Resilience: if a computer fails, the person signs in on the next one and keeps working. The data lives in OneDrive or SharePoint, not on the broken drive.
- Overview: at any time you can see which devices exist, who is signed in and which software is missing.
- Data protection: access to HR data or client files can be restricted to groups and proven – a requirement funding bodies regularly check with social-sector organisations.
- Cost: Entra ID is included in Microsoft 365 Business; non-profits additionally get heavily discounted or free licences through Microsoft's nonprofit programme.
How the switch went at Haus Phönix
Starting point: three houses, several offices, a mixed bag of older computers with local accounts. Goal: eight new workstations, every one joined to the domain, every person with one login.
The process in four steps: first create the directory – users, groups for the houses and for confidential areas, mandatory two-factor. Then the devices: Windows computers are connected to Entra ID during setup so sign-in runs through the central account from day one. Next, software and base settings are configured identically on all eight computers so no device is a special case. Finally, data is migrated from local folders to OneDrive and SharePoint, followed by a short briefing per house.
What to clarify beforehand
- Which software runs locally today and needs to move to the new computers? Old line-of-business applications are the most common stumbling block.
- Where does the data really live today – on desktops, USB sticks, in private cloud accounts? All of it has to be collected once.
- Who will be administrator? At least two people, none of them using the admin account for daily work.
- How much internet bandwidth is available at each site? With cloud sign-in and OneDrive, a stable connection is mandatory.
What is different afterwards
The most visible effect comes on the first Monday: every person signs in with the same account on any computer, and everything is there. The invisible effect comes later – at the next staff change, the next broken device, the next question from a funding body about the data protection concept. Then the answer is one click instead of a weekend.
A central identity is not a big-corporation topic; it is the foundation on which every further IT improvement – backup, security, remote work – can be built cleanly at all.
